POLICIES AND PROCEDURES
Purchases During our
Events
It is our intent that our participants register for as many
things as possible before our events in order to assist us
in planning and to ensure the availability of
all items during our events.
All
of the prices of every service and bike part, accessory,
and merchandise items available for sale during our events
will include tax and will be in
whole dollar
increments
so you won't
have to carry any coins while riding.
It is extremely important for you to bring money
with you on the road, especially in case you need to pay
for any mechanical support services or parts if necessary.
We absolutely will not "float" you any service or item to
be paid back later or lend you anything to be returned or
replaced later, such as the temporary use of a tire until
you are able to get your own. If you do not have money on
the road, you will need to secure an alternate method of
payment such as using the credit card of a family member
or friend or borrowing money from another participant and
settle up with them individually on your own.

Payment Methods
We can accept credit cards, cash, and checks on road.
Credit Card Payments
Credit cards will be generally be processed through a payment app on our smartphones.
We will
charge a 3.6% surcharge to cover credit card processing
fees.
If there is no cell coverage where a service is performed
or item provided, we will take your credit card information
by hand and process the payment
when
cell
coverage
becomes
available,
usually
in the stopping town that night. All hand gathered cerdit card information
will be promptly destroyed immediately upon successful payment.
If we have
any vendors travelling with us during the event (such as mechanics, massage
therapists, etc.), they may also call in
your credit card information
to be
processed
at
their home office location.
Cash Payments
If you choose to carry cash with you on the road, we recommend
carrying at least $100.00, primarily in 5's and singles to
ensure you will have the correct change since we can't
guarantee
that we will have the correct change available. Also, be
sure to bring an ATM card with you just in case you run out
of money - you can always stop at a bank or ATM in
one of the towns we will pass through as necessary.
Pre-Payment Options
Unfortunately, a lot of times participants
on cycling events do not remember or think it's necessary.
Nothing could be further from the truth. If you do not
want to bring
any money with you on the road, or if you want to be assured
that you
will
have
money
available
to handle any mechanical
issues that may come up we can take prepayment methods in advance.
The simplest way to do this is for us to take your credit
card information before you are on the road and process the
card for all amounts due. It is your responsibility to ensure
the credit card information you provided us is correct since
we will not be able to verify it beforehand.
We can also carry your pre-signed personal checks with us
and fill out the checks for the amount due as appropriate.
After the end of the event we will destroy any unused personal
checks, or upon request return them to you in person or mail
them back to you.
We can also accept a cash deposit and will issue you a receipt
for any cash deposit received upon request. After the end
of the event we can refund you any unused cash deposit in
person or via electronic transfer later, minus any electronic
transaction fees. If the amount remaining in your cash deposit
becomes less than the total amount due for any mechanical
service and/or parts, the remaining amount must still be
paid before any work will begin and/or parts will be provided.
Non-Payment
If a credit card payment fails to go through, if a check is returned due to
non-sufficient funds, or if your cash balance available is insufficient after
any service has already been performed or merchandise or parts have already
been provided, the balance due must be paid immediately. If an you
are unable
or unwilling
to
do so you will immediately be ejected from the event and will call the police,
have you arrested for theft, and prosecute you to the full extend
of the law. In addition, your name and personal contact
information will be distributed to every other cycling event across the country
through our network of event directors to prevent you from ever participating
in another organized cycling event again. There will be absolutely no exceptions
to this policy. |
